With emerging technology, many youth programs are opting to move to an online or a virtual format. Virtual youth programs follow the same registration process and requirements as in-person programs.

Virtual programs still require:
  • a registration form submission at least 30 days in advance of the program start date, 
  • background checks,
  • training,
  • a signed code of conduct,
  •  and the parental release waiver form.
However, there are some differences between in-person and virtual youth programs. Below are additional requirements or changes when hosting a virtual youth program. 
  • Rule of Three- There must always be at least two adults on any and all communications with a minor. 
    • There will always be a minimum of three individuals on all communications: at least two adults and at least one minor. 
    • Communications encompasses all forms of communications with a minor including, but not limited to, email and videoconference. 
  • Georgia Tech Approved Platforms- The youth program must use a platform or software that has been approved by the Institute.
    • Video conferencing platforms include Microsoft Teams, BlueJeans, and Webex. More information on these platforms can be found on the Service Now website here

  • Virtual Staff and Volunteer Code of Conduct- Because of some of the differences between hosting a program in-person versus online, there is a separate Code of Conduct that is specific for virtual programs. Programs should have all employees and volunteers print and sign the Code of Conduct here.
  • Virtual Participant Code of Conduct- Because managing youth over a virtual setting presents its own list of challenges, there is a Code of Conduct specifically for participants and parents/guardians to ensure that the participant is behaving in an appropriate manner online and that the parent or guardian is giving the participant a space and opportunity to engage in the program. Programs should have the participant is his/her parent or guardian sign the Code of Conduct here
